Here is how the Midstream District Administrative Assistant will make an impact:
The Midstream District Administrative Assistant organizes, performs, and ensures efficient office operations and procedures, such as P-card coding, information management, filing, requisition of supplies, building maintenance, mobile communication needs, flame retardant clothing needs, travel arrangements, and other clerical services. This role will have primary responsibilities in the Clearfork office and secondary responsibilities in the Moundsville field office. This role will also support day-to-day operations at Clearfork and the larger Midstream Field operations in SWPA and WV.
The Midstream District Administrative Assistant responsibilities include but are not limited to:
· Maintain inventory sheets and track items that are used from inventory and replenish as needed
· Assisting the Maintenance Team in ordering and tracking inventory items, including entering POs in the P2P system to order parts as needed
· Filters, Gaskets, Belts, Compressor parts, Critical spares, Oil for pumps
· Perform and report to the team the status of shipping and expediting when needed, along with confirming and documenting the receipt of items
· Create a PO in the P2P system to order ancillary supplies for both Clearfork and the Moundsville Midstream personnel
· Kitchen and bathroom supplies, lube oils, Gas Chromatograph, Cal-Gas, gasoline, diesel, etc.
· Track monthly usage and report any anomalies to management
· Create WO’s in the P2P system to order equipment for planned needs, confirm receipt of equipment, and initiate the return of equipment once the project has been completed:
· UTV’s, Manlift, Heaters, Generators, Light plants
· Keep PPE stocked at an appropriate level to ensure the Clearfork and Moundsville employees have the necessary safety equipment available for emergency replacements and new hires’ initial needs.
· Track, code, and direct invoices to the appropriate approval chain for Clearfork and Midstream Operations
· Maintain a report for closed drain truck loads to ensure accurate tracking and reporting
· Maintain an accurate tracking sheet of all visitors to the Clearfork plant and other Midstream facilities
· Manage all Smartsheet lists that track Drum log, Car Seal, O&M Procedures
· Organize and file permanent hard copies of critical documents:
· Work permits, Hot work permits, LOTOS, DOT 192 & 195 paperwork
Required / Preferred Experience and Skills:
· 5 + years of progressive administrative support experience
· High School Diploma or equivalent
· Demonstrated ability to efficiently keyboard, file, and perform other administrative duties
· Attention to detail necessary for compiling, checking, and recording information
· Computer skills, including Microsoft Word, Excel, and PowerPoint
· Demonstrated ability to use various software such as JDEdwards, PaymentNet, ARI, etc.
